The Order of Malta Lebanon has been operating in the health and social welfare sectors since 1957. It manages a network of 60 projects serving the most vulnerable populations, across the Lebanese territory including primary healthcare centers, mobile medical units, elderly day care centers, hosting centers for the differently abled and projects for the displaced and refugees as well as an agro-humanitarian project within the catchment areas of its centers.
The Order of Malta Lebanon has developed a comprehensive multi-annual program to strengthen its social, agricultural and health services as well as its structures.

SUMMARY
Administrative Officer is responsible for providing administrative, operational, and coordination support to the Supply Chain Manager to ensure the efficient and effective functioning of the department.
The role supports departmental planning, operational follow-up, reporting, communication, documentation management, and coordination across supply chain, logistics, procurement, warehouse, laboratory, and healthcare operational activities. The Administrative Officer plays a key role in ensuring smooth workflow management, timely follow-up on operational priorities, and effective coordination between internal and external stakeholders.
RESPONSIBILITIES
· Provide administrative and operational support.
· Manage schedules, appointments, meetings, and departmental calendars.
· Prepare reports, presentations, official correspondence, meeting minutes, and operational summaries.
· Organize and maintain departmental filing systems and confidential records.
· Follow up on operational priorities, action points, approvals, and deadlines.
· Support the manager in preparing operational plans, dashboards, and management reports.
· Coordinate communication and operational follow-up between the department and internal stakeholders.
· Liaise with Procurement, Warehouse, Logistics, Laboratory, Finance, HR, healthcare centers, and operational teams.
· Organize departmental meetings, trainings, and operational review sessions.
· Prepare meeting agendas, follow-up trackers, and action plans.
· Ensure smooth communication flow and timely dissemination of information.
· Support the monitoring and follow-up of departmental projects and operational activities.
· Assist in tracking KPIs, operational indicators, and departmental performance.
· Support procurement, logistics, warehouse, and laboratory administrative processes when required.
· Monitor operational trackers and ensure timely updates and reporting.
· Assist in emergency operational coordination and rapid response activities when needed.
· Maintain updated records, databases, trackers, and documentation.
· Ensure all records are accurate, organized, and audit-ready.
· Assist in preparing audit and compliance documentation.
· Apply and follow the Code of Ethics, mission, vision, and values of Order of Malta Lebanon.
· Ensure compliance with organizational policies, procedures, and administrative standards.
· Maintain confidentiality, professionalism, and accountability in all tasks.
· Perform any other related duties assigned by the Supply Chain Manager.
QUALIFICATIONS
· Bachelor’s degree in Business Administration, Management, Supply Chain, Logistics, or related field.
· Minimum 2–3 years of experience in administrative support, warehouse administration, logistics, or operations.
· Experience in NGOs or healthcare environments is an asset.
· Strong organizational and administrative skills.
· Attention to detail and accuracy.
· Effective communication and interpersonal skills.
· Ability to manage multiple tasks and priorities.
· Problem-solving and coordination skills.
· Time management and follow-up abilities.
· Ability to work under pressure in operational environments.
· Computer literate, advance knowledge of Microsoft Office
· Knowledge of ERP System is a plus
· Proficient in Arabic and English; proficiency in French is a strong advantage (written and spoken).
