The Order of Malta Lebanon has been operating in the health and social welfare sectors since 1957. It manages a network of 60 projects serving the most vulnerable populations, across the Lebanese territory including primary healthcare centers, mobile medical units, elderly day care centers, hosting centers for the differently abled and projects for the displaced and refugees as well as an agro-humanitarian project within the catchment areas of its centers.
The Order of Malta Lebanon has developed a comprehensive multi-annual program to strengthen its social, agricultural and health services as well as its structures.

Program Operations and Administration Officer
LOCATION
Beirut - HQ
SUMMARY
The Program Operations and Administration Officer support the Programs Department by ensuring smooth administrative and operational coordination across program pillars. The role facilitates efficient internal processes, documentation management, logistical coordination, and administrative follow-up to enable program teams to focus on program implementation and quality delivery.
RESPONSIBILITIES
Program Administrative Support
§ Provide administrative support to the Programs’ Director and Head of divisions
§ Coordinate internal program meetings and ensure proper documentation of minutes and action points
§ Maintain organized program documentation and filing systems
Operational Coordination
§ Support coordination with operations departments including procurement, logistics, finance, and HR to facilitate program implementation
§ Follow up on administrative processes related to program activities including procurement requests and service requests
§ Track administrative processes and ensure timely follow up with relevant departments
Logistics and Activity Support
§ Support logistical arrangements for program meetings, workshops, trainings, and events
§ Coordinate travel arrangements and logistics for program staff when required
Documentation and Compliance
§ Ensure program documentation is properly archived and accessible
§ Support preparation and organization of documents required for audits, reviews, and compliance checks
General Administrative Coordination
§ Maintain internal trackers related to program operations and administrative processes
§ Support other administrative tasks required for effective functioning of the Programs Department
- Applies and follows code of ethics, values, mission, and vision of Order of Malta – Lebanon
- Performs other related duties assigned by the Programs Director
QUALIFICATIONS
§ Bachelor’s degree in Business Administration, Management, Social Sciences, or related field
§ Minimum 3 years of experience in administrative or operational support roles, preferably within NGOs or development organizations
§ organizational and coordination skills
§ Ability to manage multiple tasks and follow up on administrative processes
§ Strong attention to detail and documentation management
§ Ability to work collaboratively with multidisciplinary teams
§ Good communication and interpersonal skills
§ Ability to work under pressure and meet deadlines
§ Strong proficiency in Microsoft Excel and PowerPoint
§ Experience with data visualization tools or databases is an asset
§ Fluency in English, French and Arabic required
